Internal ticketing for your retail team — free, with no per-user fees
TicketFlow is internal ticketing for the people who run your stores and webshop: a staff member logs an issue — an order problem, a customer complaint, a stockroom question — and tracks it through stages until it's resolved. It is not a customer helpdesk: customers have no access and cannot email tickets in.

Capabilities
What TicketFlow does
Stages you define
Build your own stages with a name, description and colour, and drag to reorder them. Every new account starts with sensible stages already in place.
Assignments with notifications
Assign each ticket to a specific person and they're notified inside the app — nothing sits in no-man's-land.
WooCommerce order linking
Search by order number, phone or email across all your connected storefronts, confirm the right order, and the customer details fill themselves in — with one click through to wp-admin.
Notes & collaboration
Your team works the ticket in notes. In the queue you preview the latest notes on hover — without opening anything.
A queue that shows what's urgent
Sorted by latest activity, with Open/Closed/All tabs, per-stage counts, and colour cues for tickets untouched for more than 24 and 48 hours.
Quick actions
Change stage, close or reopen a ticket straight from the list — no need to open it.
Full audit trail
Every stage change, assignment, note and field edit is recorded with who and when, in its own history tab — documentation with no gaps.
Unlimited users & CSV export
Cashiers, warehouse, webshop — bring the whole team, with no per-user fees. Export the filtered queue to CSV whenever you need it.
An internal tool — not a customer helpdesk
TicketFlow is used by your team, not your customers. That's deliberate: most retail problems never arrive as a support email — they start at the till, in the stockroom or on a phone call, and get lost in chat threads and sticky notes. TicketFlow gives them one place with an owner, a stage and a history.
- Staff log issues across every store and storefront
- Each issue links to the real WooCommerce order behind it
- Clear ownership: who picked it up, what stage it's in, what happened so far
- No customer portal and no public ticket submission
- No email ingestion, and no emails sent to customers
- No live chat, no SLA timers, no automation rules
Helpdesks charge per agent. We don't.
Popular helpdesk tools start at €55+ per month and bill for every extra seat — which is why, in retail, two people end up with access and everyone else sends messages. TicketFlow is included free with every RetailPilot plan with unlimited users, so the whole team is in: till, stockroom and webshop.
Add-on: AI Agent API (+€9/month)
Already running an AI chatbot or support assistant? The AI Agent API gives it token-authenticated, read-only access to your ticket context — it finds a customer's ticket by email, order number or phone and reads the stage and notes. Read-only: it never replies and never changes anything.

Nothing. TicketFlow is included free with every RetailPilot plan and is active from day one. The base plan starts at €69/month with unlimited users — and ticketing is already in.
Works alongside the other modules
ReturnFlow — returns
When the issue is a return, ReturnFlow takes over coupons, exchanges and restocking.
SyncRegister — POS
Store issues start at the register that's synced to your WooCommerce storefront.
TaskPilot — store checklists
What repeats becomes a template with steps: opening, goods receiving, stock counts.
Frequently asked questions
- Is TicketFlow a customer helpdesk?
- No. TicketFlow is an internal tool for your team. Customers have no account, never see tickets and don't submit requests themselves — your staff log the issues.
- Can customers email tickets in?
- No. There is no email ingestion and no automatic ticket creation from messages. Tickets are created by staff inside the app.
- Is it really free?
- Yes. TicketFlow is included with every RetailPilot plan at no extra cost and with no user limit. It isn't sold separately — it comes with your plan.
- How many users can I add?
- As many as you like. RetailPilot never charges per user or per agent, so your whole team can be in there.
- Can a ticket link to a WooCommerce order?
- Yes. Search by order number, phone or email across all your connected storefronts, pick the right order, and the customer details fill in automatically — with a link to open the order in wp-admin.
- Are there SLAs, priorities or automations?
- No. TicketFlow keeps the flow simple: stages, assignment, notes and history. There are visual cues for tickets untouched for more than 24 and 48 hours, but they don't trigger automated actions.
- How is this different from TaskPilot?
- TicketFlow is for one-off issues that come up and need resolving. TaskPilot is for repeatable store routines — reusable checklists your team runs again and again, with due dates.
