What TaskPilot does
Templates with steps
Build the checklist once — "Store opening", "Goods receiving", "New employee onboarding" — with ordered steps and descriptions. Start the same template as many times as you need.
Assign to people
Each step is assigned to specific employees. You know who has what — not a list that belongs to everyone and therefore to no one.
PIN sign-off — by the right person only
Every step is closed with the employee's PIN and their name is stamped on it with a timestamp. If a step is assigned, only those people can tick it off — with the manager override PIN as the one deliberate exception.
Due dates per task and per step
A date on the task, and a separate one on each step. Overdue dates turn red on both, and a task due today gets an amber last-day warning.
In progress, not just done
A step can be in progress: the employee starts it and you see it running. The task's own status is derived from its steps, never set by hand.
Archive & history
Archive a task you're done with and it leaves the working lists without losing what was done or by whom — and you can bring it back. Every edit goes to the activity log, and every PIN sign-off to the authorization history.
Ready-made templates from day one
Activation seeds four retail templates — store opening, new product onboarding, customer return handling and a weekly stock count — for you to adapt to how you work. Any template can be duplicated with all its steps.
Who writes, who runs
Templates are authored by people with the workflow-manager grant; the whole team runs the tasks. Search by number or text, filter by status and assignee, export to CSV.

What TaskPilot doesn't do
We'd rather you knew before the trial than after:
- No automatic recurrence or scheduling: a person starts each run when it's needed.
- No per-store assignment or per-store views — the library is team-wide, with an optional private setting per template or task.
- No email or push reminders, no reports and charts, no photo or file uploads on steps.
- It isn't a shift-scheduling or time-clock tool, and it isn't general project management.

- Do tasks repeat automatically?
- No. TaskPilot has no scheduler: someone on the team starts a run from the template whenever it's needed. That's a deliberate simplicity choice — and it means only what you actually want to run gets started.
- Can I assign tasks per store?
- No. There is no per-store separation or per-store view — the template library and the tasks are shared across your team. Assignment happens to specific people, at the level of each step.
- Who can tick off a step?
- Each step is closed with an employee PIN and their name is recorded with a timestamp. If the step is assigned to specific people, only they can complete it.
- How is this different from TicketFlow?
- TaskPilot is for procedures you repeat and want done the same way every time. TicketFlow is for one-off issues that come up and need resolving. TicketFlow is included free with every plan.
- Does it send reminders to staff?
- No, it sends no email or push notifications. Tasks that are due today or overdue stand out visually in the list, and the number of open tasks shows in the menu.
- Do employees need a separate app?
