Automatic store-credit coupons
The coupon is created automatically in the origin storefront's WooCommerce — with its own numbering series per site if you set one — and the customer is emailed. If WooCommerce rejects it you see it immediately and retry — a customer is never emailed a coupon that doesn't exist.
Exchange orders
When the customer wants an exchange, the new order is created on the storefront the original came from. The same SKU keeps the price originally paid, and you can correct the address before it goes out.
Restock to a chosen store
Choose which physical store the items return to and that store's stock is updated in RetailPilot. Damaged goods? They go back nowhere.
Shipping methods and locker pickup
Choose how the exchange order goes out: courier delivery, store pickup, or a Box Now parcel locker picked straight from an embedded map — with a flag for when the item has to be collected from the customer by the courier.
Rules you define
Return window, which order statuses are eligible, maximum returns per order, partial returns, and per-reason fees — all configured by you.
Statistics and exports
Returns by period, reason, storefront and employee, top returned products, financial summary and coupon statistics — with the statistics exportable to XLSX and the returns list to CSV.

ReturnFlow is operated by your staff, not your customers. Because in small retail the real risk in returns isn't the shopper — it's a credit issued with nobody checking.
- Sensitive actions require an employee PIN — and you can make it mandatory every time
- Every action is recorded with user, timestamp and IP — and on each return you see who filed it and who authorized it
- A dedicated "returns operator" role: works the desk without access to statistics, settings or exports
- Duplicate submissions are blocked, and you're warned when an order already has a return
- Returns against a non-eligible order status are manager-only — and are recorded as an override
EU compliance
What happens after the withdrawal button
Under Directive (EU) 2023/2673, applying since 19 June 2026, stores selling at a distance to EU consumers must offer a withdrawal function — the so-called "withdrawal button". Each member state transposes it into national law (Greece, for example, via Law 5317/2026), and if you sell into the EU from outside it, the obligation follows your customer rather than your address. But it doesn't end at the button: every withdrawal request must be handled correctly, on time, and with evidence.

Frequently asked questions
- Do customers submit returns themselves?
- No. ReturnFlow is a returns desk for your team: your staff find the order and record the return. There is no customer portal and no public return form.
- Does it refund money to the customer's card?
- No. Settlement happens through a store-credit coupon issued automatically in your WooCommerce. ReturnFlow calculates the amount and the fees, but it doesn't connect to a bank or payment provider — if you want to refund cash, you do that the way you already do.
- Does it produce return labels or courier vouchers?
- No. ReturnFlow doesn't generate labels, vouchers or tracking numbers and calls no courier API. For Box Now you pick a locker from the map and the locker is written onto the order, so your own courier plugin can take it from there.
- Does it update my eshop's stock?
- A return updates the stock of the physical store you choose inside RetailPilot, so you know what's on each store's shelves. Your storefront's own stock stays managed in WooCommerce as usual.
- Does it work with multiple storefronts?
- Yes. Order lookup runs across every connected WooCommerce site, the coupon and the exchange order are always created on the origin storefront, and each site can have its own coupon series.
- Does it cover the EU withdrawal button?
